Job Description
A multi Family Office is seeking a Senior Level Operations Candidate to serve as a strategic right hand to the COO. This role is ideal for someone who thrives in fast-paced environments, enjoys owning mission-critical operational processes, and can independently drive projects across Middel office operations, reporting,and infrastructure initiatives. The ideal candidate combines strong middle office expertise with a proactive, solutions-oriented mindset and the ability to execute with precision. Responsibilities Oversee daily operational workflows related to trade support, reconciliations, reporting validation, and operational controls Manage trade verification and settlement processes across custodians, brokers, and internal systems Investigate and resolve operational exceptions including failed trades, reconciliation breaks, and booking discrepancies Support lifecycle events including corporate actions, dividend and interest validation, and transaction clean-up Serve as a key operational liaison with custodians, brokers, and external vendors Lead daily, weekly, and monthly reconciliations across cash, positions, transactions, AUM, and reporting data Analyze and resolve reconciliation variances while maintaining strong documentation and audit trails Ensure operational workflows adhere to internal controls and documented procedures Support operational reporting accuracy across portfolio management, client service, finance, and compliance teams Assist in maintaining and enhancing systems including Addepar and Practifi/Salesforce Partner directly with the COO on operational initiatives, infrastructure enhancements, and process improvement projects Create procedures, SOPs, and operational documentation to support long-term scalability Prepare presentations, analysis, and leadership reporting materials Support management fee billing processes including validation of fee schedules, AUM calculations, and invoice review Assist with operational finance routines including cash flow tracking, budget monitoring support, and vendor coordination Partner with finance and client service teams to resolve billing inquiries and reporting discrepancies The Ideal Candidate 5+ years of experience within investment operations, middle office, RIA operations, asset management operations, or a similar financial services environment Strong understanding of the trade lifecycle, reconciliations, operational controls, and exception management Advanced Excel skills with the ability to analyze and reconcile large datasets Experience working with custodians, portfolio accounting systems, and investment reporting platforms Proven ability to manage multiple high-priority deadlines with exceptional accuracy and attention to detail Strong analytical, troubleshooting, and problem-solving capabilities Highly organized, process-driven, and execution-oriented Comfortable operating as a trusted partner to senior leadership Experience with Addepar and/or Practifi is strongly preferred Fluency in English and Portuguese and or Spanish Bachelor’s degree required
