We are looking for the next Operations & Programs Director for an organization in Florida. In this role, you will be responsible for the day-to-day administrative operations and execution of programs and events. This role serves as a central coordinating function, ensuring internal processes, programs, and member-facing activities are delivered efficiently, consistently, and on schedule. This is a hands-on, execution-focused position. The Operations & Programs Director is "right-hand" to the CEO and internal staff to provide organizational stability, operational follow-through, and high-quality program delivery. Success in this role is measured by organization, reliability, attention to detail, and the ability to manage multiple priorities effectively. This position has a growth path to Vice President for successful placement and performance. Status: this is a permanent position open to candidates authorized to work in the US and living within commutable distance to Pensacola, FL. Location: 5 days in-office in Pensacola, half days on Fridays. Relocation assistance is not available. What You'll Do Operations, Administration & Coordination Manage daily office operations, workflows, calendars, and internal documentation. Serve as the primary coordination point for vendors, venues, contractors, and service providers. Support invoicing, billing, deposits, and financial tracking in coordination with administrative staff and external accounting partners. Maintain accurate records and ensure timely completion of required filings, licenses, and compliance documentation. Administer and maintain the organization’s CRM system to support data accuracy and operational reporting. Program & Event Execution Execute assigned programs and events, including leadership development programs, committees, forums, advocacy initiatives, and signature events. Manage program and event calendars, timelines, and logistics from planning through execution. Coordinate venues, speakers, catering, sponsorship fulfillment, materials, volunteers, and on-site logistics. Prepare materials and support for board, committee, and leadership meetings. Track program budgets and ensure execution within approved financial parameters. Complete post-event wrap-up including attendance tracking, documentation, and follow-up reporting. Coordinate with communications and marketing staff to support event promotion and program awareness. General Support Represent the organization professionally at events, meetings, and community activities when assigned. Deliver a high level of customer service to members, sponsors, volunteers, and partners. Support onboarding logistics and serve as a continuity point during staff transitions. The Quals You'll Need 10+ years' experience in operations, administration, programs, events, or nonprofit/civic environments preferred. Demonstrated experience coordinating programs, events, or projects from start to finish. High attention to detail and follow-through. Comfort working with CRM systems, databases, and standard office software. Professional, reliable, and service-oriented approach with the ability to work independently and collaboratively. Bachelor’s degree or equivalent combination of education and professional experience.
