Job Title:Part Time - Administrative Assistant Reports To:Director of Administration & Operations SUMMARY The Part Time - Administrative Assistant is responsible for overseeing routine and advanced administrative duties for other members of the CIVOC Team.This position works closely with the Executive Director and other employees to organize files, create correspondence, and prepare reports or documents.They are responsible to complete a range of clerical tasks including sorting mail, preparing invoices and organize mailings.They may also be responsible for engaging in event planning and meeting setup and implementation.ESSENTIAL DUTIES AND RESPONSIBILTIES The core duties and responsibilities of an Administrative Assistant revolve around supporting others.Job duties can vary widely from day to day and include the following tasks: Answer phones and greet all visitors Schedule and coordinate staff and other meetings Collate and distribute mail Prepare communications, such as memos, emails, invoices, reports, and other correspondence Write and edit documents from letters to reports and instructional documents Create and maintain filing systems, both electronic and physical Manage accounts payable & create and make bank deposits Maintain and reorder appropriate level of office supplies NON- ESSENTIAL FUNCTIONS Other duties as assigned with or without accommodation PROFESSIONAL QUALIFICATIONS To perform the various duties, the Administrative Assistant must exhibit many varied skills and qualifications.At the core, the Administrative Assistant is a support position, meaning that communications and decision-making are paramount.A few of the specific skills that all administrative assistants should possess include: Decision-making:Administrative Assistants are required to make independent decisions daily, addressing the best way to handle specific tasks. Communications and collaboration:An Administrative Assistant must communicate and collaborate with other administrators and support personnel, management, external people, and the clients we serve on a regular basis. Organizational skills:Organization and prioritization are the core elements of the Administrative Assistant's responsibilities.You must know how to keep yourself and others organized and how to prioritize assigned tasks. Writing:Proficiency in spelling, punctuation, sentence structure and writing is essential to the Administrative Assistant role; proficiency in a variety of styles, from creative to professional to technical to education and more are required.Working Environment:Typical office environment however additional weekend and evening work hours may be required to participate in meetings and organization events.Preferred Education and Experience:High School Degree - Required.1.Minimum of Five years of experience supporting administrative functions in an office setting.2.Must have and maintain a valid state driver's license.3.Must be proficient using a computer and other office equipment i.e.:copy machines, scanners, printers etc.4.Must be proficient in Microsoft Office Suite 365 or higher 5.Proficiency using QuickBooks and other databases Job Type:Part-time Pay:$19.50 - $22.50 per hour Expected hours:20 - 25 per week Work Location:In person.
