Job Title: PAYROLL & ACCOUNTING SPECIALIST Location : Fort Smith Department : Human Resources & Finance Reports To : Director of Human Resources Employment Type : Full-Time; Salaried position Position Summary: We are seeking a compassionate and dedicated Payroll & Accounting Specialist to oversee payroll administration and accounts payable functions for the Agency while ensuring compliance with federal, state, and local regulations, as well as company policies. This role is responsible for maintaining the confidentiality of sensitive employee and financial information, ensuring timely and accurate payroll processing, invoice management, vendor payments, and supporting overall financial operations. Key Responsibilities: Payroll Administration : Oversee full-cycle bi-weekly payroll processing for all employees, ensuring accuracy in any employee changes, paycheck issuance, and compliance with all state, federal, and local regulations. Maintains confidentiality and integrity of all payroll data. Compliance & Year-End Reporting : Manage garnishments, child support orders, and tax levies, ensuring proper set up and deductions are made. Completes all year-end tasks such as W-2 and 1095-C verification and mailing, staying current with all tax and wage laws. Employee Payroll Support: Coordinate closely with the Human Resources Department to ensure payroll accurately reflects employee benefit elections, deductions, compensation updates, and status changes in accordance with Agency policies and regulatory requirements. Accounts Payable Administration: Serve as the primary point of contact for all Accounts Payable functions, including processing invoices for payment, reviewing documentation for completeness and approvals, and ensuring timely and accurate payments for goods and services necessary for Agency operations. Invoice Processing & Expense Management: Review, assemble, input, and monitor credit card statements, employee expense records, and incoming invoices to verify proper coding, authorization, and supporting documentation prior to payment processing. Vendor Relations: Maintain positive working relationships with Agency vendors by responding to inquiries, resolving discrepancies, and ensuring vendor accounts remain accurate and current. Financial Reporting & Reconciliation: Assist in generating financial reports and schedules and support the CFO with month-end close procedures and related accounting tasks. Ensure all expense accounts are coded accurately, and financial records are properly maintained. Interdepartmental Coordination: Collaborate with other departments to obtain approvals and verify appropriate expenses while supporting efficient financial and operational processes across the Agency. Professional Conduct: Maintain a positive, professional attitude and project a caring image. Wear company-issued ID at all times while on duty. Other Duties: Perform additional duties as assigned to support departmental operations and organizational objectives.
