Job Description Personal & Executive Assistant The Concept Agency | Boca Raton, FL | Full-Time ๐Ÿ“ Location: Boca Raton, FL (in-person, with remote flexibility for admin tasks) ๐Ÿ•˜ Hours: Mondayโ€“Friday, 9:00 AM โ€“ 4:00 PM ๐Ÿ’ฐ Compensation: $52,000/year ๐Ÿš— Requirements: Must have own reliable vehicle and valid driver's license About the Role We're looking for a highly organized, proactive, and tech-savvy Personal & Executive Assistant to support the Founder & CEO of The Concept Agency โ€” a fast-growing boutique marketing agency based in Boca Raton, FL. This is a unique hybrid role that is 50% personal assistant and 50% executive assistant, requiring someone who can seamlessly toggle between managing household logistics and supporting a busy business operation. This role is ideal for someone who thrives on variety, loves checking things off a list, takes initiative without being asked twice, and genuinely enjoys making someone else's life run more smoothly. No two days will look exactly alike. What You'll Do Personal Assistant (50%) Home & Household Grocery shopping and stocking the home Light meal prep โ€” cutting and organizing vegetables, organizing the fridge Laundry โ€” washing, drying, and folding General home organization and tidying Coordinating with home vendors (plumber, electrician, cleaners, etc.) Managing Amazon and online orders and returns Family & Errands Occasional school pickups for the kids (driving required) Running personal errands โ€” birthday gifts, pharmacy, office supplies, etc. Gift buying for family occasions and kids' friends' birthdays Setting reminders for school deadlines, appointments, and family events Personal Admin Coordinating documents and appointments Managing personal calendar and scheduling Executive Assistant (50%) Admin & Financial Managing and organizing receipts and invoices Ensuring bills and vendor payments are made on time Categorizing and organizing expenses for the bookkeeper Tracking subscriptions and flagging unnecessary spend Operations & Logistics Shipping and receiving packages (work and occasional personal) Managing one-off projects like listing and selling office furniture online Running office errands โ€” supplies, print jobs, drop-offs, etc. Managing Amazon and online orders and returns for TCA Scheduling & Calendar Managing the CEO's work calendar Scheduling and confirming meetings, calls, and appointments Coordinating across the TCA team as needed Sending timely reminders for deadlines and upcoming commitments Events & Projects Helping coordinate in-person client and company events โ€” vendor outreach, logistics, timelines Liaising with team members and vendors on the CEO's behalf Work travel research and booking (occasional personal travel as well) What We're Looking For 1โ€“3+ years of experience in an assistant, coordinator, or operations role (personal or professional) Highly organized and detail-oriented โ€” nothing falls through the cracks Comfortable with technology and able to learn new tools quickly Experience with or willingness to learn: Google Workspace, Slack, Monday.com, and similar platforms Excellent communication skills โ€” knows when to ask questions and when to just handle it Discreet and trustworthy โ€” you'll be in both personal and professional spaces Positive, proactive, and solutions-oriented Comfortable driving and running errands throughout the Boca Raton area Requirements Must have a valid Florida driver's license and reliable personal vehicle Must be local to Boca Raton / South Florida area Must be comfortable working in both personal (home) and professional (office) environments Must be available Mondayโ€“Friday, 9:00 AM โ€“ 4:00 PM Must pass a background check Nice to Have Prior experience supporting a founder, executive, or high-net-worth family Familiarity with Klaviyo, Shopify, or marketing agency environments Experience with project management tools (Monday.com, Asana, etc.) Bilingual (English/Spanish) is a plus but not required
