Position Description:The Preventative Maintenance (PM) Coordinator is responsible for communicating with customer sites based on a pre-approved schedule to ensure timely and accurate coordination of preventative maintenance services.This role involves tracking and resolving scheduling issues in collaboration with the PM Manager, performing post-job ticket entry and follow-up, and maintaining accurate records and calendars within company-specific software.The PM Coordinator plays a key role in supporting smooth operations and providing an excellent customer experience.General working hours are 8:00 am - 5 pm, Monday - Friday, occasional overtime is required.Essential Job functions include, but are not limited to:Communicate with customers via phone and email to confirm appointments for PM (Preventative Maintenance) job tickets.This includes original set up, reminders, and follow-ups.Assist in maintaining customer portals.Site specific updates.Completion document uploads.Assist in maintaining the preventative maintenance schedule.Maintain multiple calendars in company specific software program.Maintain the scheduling spreadsheet.Enter work orders for PM services and assign to field technician.Confirm and update technician calendars.Enter all company holidays into all field technician calendars.Keep company specific software program information updated.Make sure that all covered areas have current filter route labels to print on site.Perform other related duties as assigned.Required Qualifications:2 or more years experience in job plan development, job scheduling, and work execution.Excellent verbal communication, facilitation, and organizational skills.Ability to build and maintain positive, professional relationships.Proficiency with Microsoft Office software including Excel for analysis and reporting.Highly-detail oriented and must be able to work independently.Able to maintain multiple calendars in company specific software.Ability to work in a team and independently.Experience in MobiWorks a plus.Self-starter and bilingual (Spanish) a plus Smartsheet experience a plus Physical Requirements The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.Reasonable accommodations may be made to enable individuals with disabilities to perform the functions.While performing the duties of this position, the employee is regularly required to talk or hear.The employee frequently is required to use hands or fingers; handle or feel objects, tools, or controls.The employee is occasionally required to stand, walk; sit; and reach with hands and arms.The employee must occasionally lift and/or move up to 25 pounds.Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus.The noise level in the work environment is usually low to moderate.Closing Statement:This brief summary is not an all-inclusive description of job duties.Other job duties and responsibilities may also be assigned by the incumbent's Manager at any time based upon Company need.Garmat is a proud Equal Opportunity employer, m/f/d/v.Pay:$24.00 - $28.00 per hour Benefits:401(k) 401(k) matching Dental insurance Employee assistance program Flexible spending account Health insurance Health savings account Life insurance Paid time off Vision insurance Experience:Field Scheduling:2 years (Preferred) Ability to Commute:Elgin, IL 60120 (Required) Work Location:In person.
