Job Title Production Records Clerk (Production Reporting Clerk) Role Purpose Collect, organize, and accurately record production and inventory movement information each shift so Operations and Warehouse can trust daily output, scrap, transfers, and inventory levels.Key Responsibilities A) Production Records (Daily) Collect shift documentation (shift sheets, job travelers/work orders, QC checksheets as submitted, downtime notes). Confirm forms are complete (job #, SKU, quantities, scrap, time, signatures). Record production data (clerical entry) into OMS/ERP/Excel exactly as reported:planned vs.actual, scrap, runtime, changeover time, downtime codes (if provided), pallet counts. File and organize records (paper digital) by date/shift/line; link records to job/order/lot for traceability. Follow up on missing/incomplete records:return to Shift Lead for correction (do not edit or fix data).Maintain a Missing/Incomplete Records list. Distribute daily compiled report (no interpretation):totals by line/shift, missing records list, and data-entry completion status.B) Inventory Checks (Daily / Weekly / Monthly) Daily Inventory Checks (End of Shift / Daily Close) Finished Goods staging check:verify pallets staged match the shift's reported output (count pallets labels). Critical materials spot-check:count key items in designated staging locations (e.g., boxes, lids, labels, film, other packaging materials as assigned). Material Transfer Ticket check:confirm A->B moves (material transfers) have a matching ticket/log entry. Create and submit a daily mismatch list documenting discrepancies between physical count vs.records for closure by the responsible owner (Operations/Warehouse). Complete and file the Daily Inventory Check Sheet.Weekly Inventory Checks Participate in cycle counts for assigned A items (high value / high movement). Validate counts in assigned zones (e.g., Finished Goods staging lanes, packaging area, label cage). Record variances and coordinate recounts if variance exceeds threshold per the counting procedure. Submit Weekly Cycle Count Report with variance notes.Monthly Inventory Checks Support monthly physical inventory or expanded cycle counts (A B items). Assist with count sheet preparation, recount coordination, and final documentation submission. Prepare the Monthly Inventory Support Packet (count docs discrepancy log).Important Note on Inventory Adjustments The Production Records Clerk counts, records, and reports variances.This role does NOT approve or execute inventory quantity adjustments.Inventory adjustments must be approved by the authorized owner(s) per company policy.What This Role Does NOT Do (Non-Responsibilities) Does not change production plans, priorities, or schedules. Does not approve product release, override QC decisions, or release holds. Does not adjust inventory quantities without documented approval. Does not analyze performance trends or determine root cause (unless separately assigned). Does not change machine settings, coach operators, or supervise production personnel.Required Skills / Qualifications Strong attention to detail and consistency. Basic Excel/data entry skills. Counting and math skills (accurate unit counts, basic conversions, variance calculation). Ability to follow checklists and meet daily deadlines. Ability to read job numbers, SKUs, pallet labels, and simple forms. Good organization (paper digital filing discipline). Comfortable working with day and night shift teams; professional communication.Pay:$18.00 - $23.00 per hour Work Location:In person.
