Job Description
Job Title: Project Assistant Job Description The Project Assistant supports engineering and construction projects by providing comprehensive administrative support to the Project Manager and project team. This role focuses on organizing project information, maintaining documentation, coordinating internal and external communications, and ensuring that project-related administrative tasks are completed accurately and on time. Responsibilities Provide general administrative support for engineering and construction projects. Organize and maintain project files, the filing system, and all project communications in an orderly and accessible manner. Perform data entry for projects and ensure information is accurate and up to date. Track the status of projects and produce monthly progress reports, maintaining a tracking system for all active projects. Update record copies, engineering project documentation, and changes as needed. Provide information and research support to facilitate responses to project-related questions. Record and prepare minutes from Project Manager and project team meetings and distribute them as required. Answer incoming phone calls, direct calls appropriately, and provide professional customer service. Sort, route, and manage incoming mail for the project team. Collect and distribute client bills, invoices, correspondence, reports, and other documents as requested. Coordinate travel arrangements and other internal services to support various project needs. Prepare outgoing mailings and labels, including email and fax communications. Reserve conference rooms and coordinate client, vendor, and supplier presentations, meetings, and interviews, including room set-up and cleanup. Schedule and set up client interviews, presentations, and other meetings as requested by the project team. Order and maintain office and project-related supplies to support ongoing work. Update and maintain the project calendar and project roster. Assist with clerical needs on projects, including document preparation and data management. Maintain data entry for project contact lists and project execution plans. Perform other duties as assigned to support the successful delivery of projects. Comply with all company policies, procedures, and standards. Essential Skills Minimum of 6 years of relevant experience, preferably in office or clerical roles. High school diploma or equivalent. Proficiency in Microsoft Word, Excel, Access, and PowerPoint. Strong organizational skills with the ability to maintain accurate files, records, and tracking systems. Ability to manage multiple tasks and deadlines in a professional environment. Strong written and verbal communication skills for interacting with internal teams, clients, vendors, and suppliers. Responsiveness and reliability, with a commitment to being in the office during core business hours starting at 8:00 AM. Ability to handle confidential information and sensitive project documentation with discretion. Capability to record and summarize meeting minutes clearly and accurately. Additional Skills & Qualifications Experience in the transmission and distribution (T&D) space and/or construction industry is highly beneficial. Familiarity with energy and substation projects is an advantage. Experience working in a consulting or project-driven environment is a plus. Ability to coordinate travel, meetings, and logistics efficiently. Strong attention to detail in data entry and document management. Comfort working within established policies, standards, and procedures. Work Environment This is a fully on-site position with no remote or hybrid option. The role requires being in the office for the complete duration of core business hours, starting at 8:00 AM. The environment is professional and project-focused, supporting engineering and construction activities in areas such as transmission, energy, and substations. The position follows a 9/80 work schedule eligibility, which may allow for a compressed workweek while maintaining full-time hours. The workplace emphasizes professionalism, reliability, and adherence to company policies and standards, with typical office tools and technologies such as Microsoft Office used daily. Job Type & Location This is a Contract to Hire position based out of Minneapolis, MN. Pay And Benefits The pay range for this position is $23.00 - $24.00/hr.
