Position Objective As a Project Manager, you will lead the planning, coordination, and execution of live and virtual events from concept through completion. This role is highly focused on managing complex timelines, aligning cross-functional teams, and ensuring all event components are delivered on time and at a high standard. The Project Manager serves as the central hub for communication, keeping stakeholders, vendors, and internal teams aligned to deliver seamless, high-quality event experiences. Primary Responsibilities: Support a portfolio of Veterinary Education Events throughout their respective lifecycles, from initial planning through on-site execution and post-event wrap-up. Develop and manage comprehensive project plans, including timelines, milestones, and deliverables across multiple concurrent events. Manage and maintain detailed event calendars, ensuring key deadlines, dependencies, and milestones are clearly defined and met. Maintain organization across multiple overlapping projects, ensuring consistency, efficiency, and high-quality outcomes. Serve as the primary point of contact for project communication, providing regular updates, tracking progress, and ensuring accountability across teams. Facilitate recurring planning meetings that drive decisions, clarify next steps, and ensure follow-through across all stakeholders. Ensure appropriate subject matter experts are engaged at the right stages to support timely decision-making and execution. Manage vendor and partner relationships, ensuring clear expectations, timelines, and deliverables are established and met. Monitor project progress and proactively adjust plans to address changes, delays, or competing priorities. Identify potential risks or gaps in execution and implement mitigation strategies to keep projects on track. Collaborate with IT teams to integrate systems and properly identify, remediate, communicate, or escalate technical and program risks. Provide regular status updates and insights to leadership on project progress, priorities, and key milestones. Interface with and report progress to Senior Leadership at NAVC, providing regular updates and insights into project status. Develop and maintain documentation, workflows, and SOPs to support efficient event planning and execution. Optimize implementation processes to reduce costs and timelines while ensuring high-quality deliverables. Required Skills Bachelor's degree in Project Management, IT, Business Administration, or a related field. Proven experience (7+ years) in successfully managing multiple projects, preferably in the event/tradeshow industry. PMP or similar project management certification. Understanding of databases, SSO, integrations, API’s, CRM Exceptional leadership, communication, and interpersonal skills. Proven ability to manage customer relationships, set expectations Demonstrated ability to manage multiple projects simultaneously. Experience using project management solutions like Wrike and Smartsheet. Excellent written and interpersonal communication skills. Superior organizational abilities. Professional demeanor in stressful situations. A self-starter with a high level of initiative and attention to detail is required.
