Job Description HARBORVIEW MEDICAL CENTER’S BEHAVIORAL HEALTH INSTITUTE has an outstanding opportunity for a PROJECT OPERATIONS SPECIALIST – KING COUNTY CRISIS TRAINING ACADEMY (KC-CTA) WORK SCHEDULE 100% FTE Weekdays 100% Remote - Onsite as business needs require DEPARTMENT DESCRIPTION The Harborview Behavioral Health Institute (BHI) is a program of Harborview Medical Center that is dedicated to advancing innovation, research and clinical practice in community behavioral health. The BHI Pillars of Clinical Services, Training, Policy and Workforce Development, and Research and Program Evaluation are focused on innovative practices that improve access to effective behavioral health care. The BHI is led and staffed by Harborview Medical Center clinical staff and faculty from the UW Medicine Department of Psychiatry and Behavioral Sciences. POSITION HIGHLIGHTS The Project Operations Specialist – King County Crisis Training Academy (KC-CTA) provides operational leadership for coordination, implementation, and continuous improvement of a countywide crisis workforce training initiative funded through the King County Crisis Care Centers Levy. Reporting to the Behavioral Health Institute (BHI) Program Director, this position is responsible for managing the operational systems and processes that support planning and delivery of KC-CTA activities across Phase 1 (Scoping) and Phase 2 (Training Delivery). PRIMARY JOB RESPONSIBILITIES Lead coordination of day-to-day KC-CTA operations across multiple workstreams Develop, maintain, and continuously improve coordination systems, tools, and workflows Independently track and manage timelines, milestones, and deliverables; identify risks and implement solutions Lead coordination of logistics for in-person, virtual, hybrid, and asynchronous trainings Determine scheduling approaches, platforms, and resource needs Provide event coordination and real-time problem-solving Manage systems for tracking participation, attendance, and evaluation data. Develop and maintain tracking tools and reporting systems. Prepare summaries and reports for leadership, partners, and funders. Coordinate communications and outreach activities in collaboration with communications staff Coordinate accessibility supports and ensure alignment with standards. Support trauma-informed and culturally responsive practices. REQUIREMENTS Bachelor's degree in public health, behavioral health, communications, education, human services, or a related field Four to Five years’ experience Demonstrated experience managing project coordination, program operations, or administrative systems supporting trainings, meetings, or events in a healthcare, public-sector, nonprofit, or educational setting. Experience coordinating multiple concurrent activities with competing priorities while maintaining accuracy, organization, and attention to detail. Demonstrated ability to work independently and exercise professional judgment in prioritizing work, resolving operational challenges, and adapting to changing project needs. Experience developing, maintaining, or improving workflows, tracking systems, or operational processes to support program delivery. Strong written and verbal communication skills, including the ability to communicate clearly and professionally with diverse internal and external stakeholders. Demonstrated ability to collaborate effectively while taking ownership of assigned responsibilities with minimal supervision. Demonstrated ability to adapt to changing priorities and learn new tools, systems, and methodologies. An equivalent combination of education and experience may substitute for stated requirements.
