HABcore, an organization that for 38 years, has been dedicated to providing affordable and supportive housing throughout Monmouth and Ocean Counties, is seeking a Part-Time Property Management Administrator (20 to 25 hours per week). Position Summary: Title: Property Management Administrator – Supportive Property Management Company Reports to: Vice President of Asset Management and Development Pay Rate: $28-32/hour. PT 20-25 hours per week. Performance bonuses and matching Vanguard IRA retirement plan available Schedule flexibility available. Daily hours may vary based on operational needs. The Property Management Administrator supports HABcore’s property management operations (Supportive Property Management) by administering lease documentation, maintaining accurate records, and coordinating rent collection and compliance processes. This part-time position works closely with property management staff, supportive housing coordinators, and finance personnel to ensure lease compliance, accurate rent processing, and proper documentation across HABcore’s supportive housing properties. The role requires strong organizational and communication skills, attention to detail, and the ability to manage multiple administrative and compliance processes related to property operations and resident records. This role serves as an administrative bridge between property management, supportive services, and finance functions. Key Responsibilities: Lease Administration Monitor lease compliance and ensure all required documentation is properly maintained Prepare new leases and manage lease renewals Maintain accurate lease records and resident documentation Coordinate recertifications and updates to resident lease files Rent Administration Process and record rent payments in Yardi Monitor resident accounts and generate delinquency reports Track and flag overdue rent payments for follow-up Apply late fees in accordance with lease terms and organizational policies Process rent adjustments or account updates when necessary Delinquency and Compliance Prepare and issue overdue rent notices, as well as NTQ and NTC notices, inspection notices and other compliance documentation Coordinate with supportive housing staff when mitigating circumstances arise Assist with eviction documentation and attend eviction proceedings when necessary Records and Administrative Support Maintain resident and property records Ensure accuracy and completeness of documentation Assist with tracking municipal and state obligations such as CO’s, registrations, inspections Assist with scheduling internal inspections and tracking maintenance requests Assist with administrative tasks for HABcore business office Assist with communication concerning resident issues Communicate outwardly with prospective residents and individuals seeking housing assistance, providing information and directing inquiries appropriately. Communicate with Operations Department and Services Department to ensure alignment between property management responsibilities, operational needs and resident service coordination, maintaining a safe, stable, and supportive living environment for residents. Qualifications Preferred qualifications include 4+ years of administrative, property management or housing program experience Experience with Yardi or property management software strongly preferred Strong communication skills, both written and verbal Strong organizational and recordkeeping skills Ability to prepare clear written documentation including rent notices, compliance correspondence, and lease-related communications Attention to detail and ability to manage sensitive information confidentially Familiarity with landlord-tenant procedures, notices, and lease documentation Proficiency in Microsoft Office (Word, Excel) Ability to work independently and communicate effectively with team members Experience in affordable housing, supportive housing, or nonprofit housing programs is a plus.
