A well‑regarded California law firm is seeking an experienced Transactional Legal Secretary to support an Equity Partner, an Income Partner, and two Associates in Real Estate and Business Law. This role is ideal for a proactive, detail‑oriented professional who excels in a fast‑paced, team‑oriented environment. This role will require onsite presence during the introductory period (90 days) and offers a 2-day-onsite/3-day-remote schedule following completion of training. Key Responsibilities Provide comprehensive administrative and secretarial support to assigned attorneys. Draft, proofread, and revise correspondence, memoranda, letters, and emails. Maintain attorney calendars, contacts, and deadlines. Review and route incoming mail and coordinate with the calendaring/docketing team. Manage electronic case files and administrative records. Enter attorney time and coordinate billing, prebills, and invoicing with Accounting. Prepare New Client Matter Memos and track matter status. Assist with transactional closing binders and closing checklists. Coordinate meetings, conference calls, travel arrangements, and expense reimbursements. Prepare check requests and coordinate vendor payments. Provide backup support to other secretaries and assist with special projects as needed. Work overtime when necessary. Qualifications High school diploma required; bachelor’s degree preferred. 5+ years of legal secretary experience, preferably supporting senior attorneys. Prior experience in Real Estate and Business Law is highly desirable. Paralegal certification is a plus. Strong organizational, communication, and customer service skills. Ability to multitask, meet deadlines, and work independently or collaboratively. Proficiency in Microsoft Office Suite and Adobe Acrobat. Experience with NetDocuments, Best Authority, CompuLaw/ProLaw, and Aderant preferred. The compensation range for this position is $85,000–$105,000 (based on experience and qualifications).
