Role Description This is a full-time, on-site role based in Houston, TX, for a Reception / Operations Coordinator. In this role, you will oversee front desk operations, including greeting visitors, answering and directing calls, and managing daily clerical tasks. You will provide administrative support to various departments, coordinate office operations, and assist with document management. Additionally, you will ensure scheduling efficiency, foster a welcoming office environment, and provide excellent customer support to clients and staff. Serve as the first point of contact for visitors, clients, and incoming calls. Coordinate scheduling and mobilization of field technicians and crews. Support preparation and tracking of invoices, purchase orders, and operational expenses Maintain equipment and tool tracking records Assist with project documentation, reports, and data entry Coordinate travel, lodging, transportation, and logistics for field personnel Maintain organized electronic and physical filing systems Monitor office supplies and support daily office operations Communicate with clients, vendors, and subcontractors professionally Assist management with administrative and operational support tasks Help track project schedules, manpower, and operational status updates Qualifications Experience with invoicing and scheduling preferred Strong organizational and multitasking abilities. Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite (Excel, Word, Outlook) Ability to work independently and manage priorities effectively Professional attitude and strong attention to detail Familiarity with QuickBooks or similar accounting/invoicing software is a plus. Bilingual English/French or English/Spanish is a plus Excellent communication and interpersonal skills. Exceptional customer service ability and a professional demeanor. Attention to detail and an ability to multitask in a fast-paced environment. Prior experience in a similar role is preferred High school diploma required; associate or bachelor’s degree preferred Minimum 2 years of experience in administrative support, operations coordination, or receptionist role.
