Job OverviewPines Federal is seeking a dependable and organized Administrative Assistant to support our office with client follow-ups, document tracking, and day-to-day administrative coordination.This is an in-office role focused on ensuring smooth communication with clients and consistent follow-through on outstanding items.The Administrative Assistant will primarily interact with clients through phone and email, helping keep cases and office operations moving efficiently, with only occasional in-person visitors.This position is best suited for someone who is detail-oriented, responsive, and proactive in managing tasks, following up on documents, and supporting attorneys and staff in a fast-paced professional environment.Responsibilities Conduct regular client follow-ups via phone and email to ensure timely communication and updates Track and follow up on outstanding documents, forms, and required client information Maintain organized records of client communications and administrative tasks Monitor task lists and ensure follow-through on assigned office and client-related items Coordinate with attorneys and operations staff to keep cases moving forward efficiently Assist with scheduling calls, meetings, and internal follow-ups as needed Provide general administrative support to the office and legal team Respond to client inquiries professionally and route questions to the appropriate team member when necessary Update internal systems and files to reflect client communications and document status Help ensure deadlines and administrative requirements are met in a timely manner Support overall office organization and daily operational needs Qualifications Prior administrative, office support, or client service experience preferred Strong communication skills, especially over phone and email Excellent organization and attention to detail Ability to manage multiple tasks and follow through on assignments Professional and dependable work ethic Comfortable working in an in-office environment and collaborating with a team Strong time management and ability to meet deadlines Basic computer proficiency (Microsoft Office, email, and case management or CRM systems) Ability to handle client communications in a professional and courteous manner Experience in a law firm or professional services office is a plus High school diploma or equivalent required; associate or bachelor's degree preferred Join us in creating a welcoming environment where organization meets exceptional service!
