The Receptionist is the first point of contact that Associates and Clients will interact with when arriving at the WSFS Bank/ Bryn Mawr Trust Bellevue Office. This role supports daily office operations by managing the front desk, mail and courier services, meeting room schedules, office supplies, and vendor access. Additional responsibilities include general administrative support, event coordination, presentation preparation, and front desk coverage to ensure seamless operations. Job Responsibilities : Serve as the first point of contact for Clients, visitors, Associates, and third-parties, providing a warm, professional welcome that reflects the firm’s commitment to exceptional service. Maintain a professional, organized, and welcoming reception area at all times. Order, stock, and maintain supplies for both the Client‑facing areas and the overall office, including beverages, coffee service, and hospitality items for the Client experience, as well as office supplies for the entire floor including kitchen areas, ensuring a consistently polished and fully prepared environment. Manage all incoming and outgoing mail, including USPS and other courier services: Sort, open, and distribute mail accurately and promptly. Investigate and resolve unknown or misdirected mail to ensure delivery to the correct recipient. Ensure all outgoing mail and packages are prepared and sent daily. Understand mail delivery times and other details related to mail services to identify enhancements and create awareness for Bellevue Associates. Manage meeting room calendars for the Bellevue office, coordinating with Facilities and Technology to ensure audio/visual equipment is fully functional and meeting spaces are clean, organized, and ready to support a seamless meeting experience. Identify, report, and track facilities issues, coordinating with the appropriate departments to ensure timely resolution and minimal disruption to Clients and team members. Receive and confirm authorized vendors, verifying access and purpose prior to allowing entry into the building. General administrative support, expense reporting, meeting coordination, presentation planning. Coordinate and support planning and execution for internal team events and Client‑facing events, including logistics, vendor coordination, materials preparation, and on‑site support to ensure a polished, seamless experience for all attendees. Assist with special projects and team initiatives, demonstrating flexibility and a willingness to help wherever needed. Prepare and develop presentations as well as drafting, editing and formatting meeting notices, invitation, letters, memos and other documents. Support and enforce building security protocols; serve as a Safety Captain and on the Local Incident Management Team. Ensure continuous front‑desk coverage by arranging appropriate backup coverage during scheduled PTO, planned absences, or other times away from the office, communicating proactively with management and team members to maintain seamless operations. Manage relationships with Facilities, Security, Mail Operations, Incident Response Task Force, and other WSFS teams to ensure awareness of activity within the building. Communicate with Associates, third-parties, and leadership through various channels including email, in-person, phone calls, and Microsoft Teams. Other duties as assigned. Minimum Qualifications Must have high school diploma or equivalent work experience. Degree is a plus. Minimum of 2 years of administrative support experience required, in a corporate environment is preferred. Experience supporting Senior Management or Executives in an administrative capacity is preferred. Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously. High level of professionalism and confidentiality is required.
