POSITION TITLE: Regional Business Manager - Parish & School LOCATION: On-site - Pastoral Center and multiple parishes/schools DEPARTMENT: Shared Services REPORTS TO: Director of Shared Services, Diocese of Orange EMPLOYMENT STATUS: Full-Time, Exempt SALARY RANGE: $69,000 - $96,000 annually (Based on experience, education, and qualifications) POSITION SUMMARY: The Business Manageroversees all financial and administrative operations for both locations. Responsibilities include budgeting, financial forecasting, payroll, human resources coordination, financial reporting, facilities oversight, and accounting functions. This Business Manager is also responsible for coordinating daily operations during regular business hours, supports the mission of the parish and school, ensures effective communication and stewardship of resources across both entities. Serves as a liaison with diocesan offices (Finance, Audit, Human Resources, Risk Management, and Schools), parish and school leadership, banking institutions, and the broader parish and school communities. The position requires strong financial management skills, sound judgment, and the ability to manage confidential information with professionalism. ESSENTIAL FUNCTIONS: Because all Roman Catholic Bishop of Orange employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work. Financial Responsibilities Prepare and manage parish and school budgets, including monthly financial statements and forecasts. Maintain accurate financial records and ensure compliance with diocesan financial policies and procedures. Oversee internal financial controls, including cash handling, disbursements, and reconciliations. Administer accounting systems (e.g., QuickBooks, Aplos, FACTS) for accounts payable/receivable and tuition collections. Manage vendor relationships, coordinate payments, and prepare required tax documents (e.g., 1099 forms). Support school-related financial functions, including financial aid administration and parent billing inquiries. Provide financial reports and documentation for diocesan reviews and external audits. Apply basic accounting principles, including proper revenue recognition, expense classification, and use of the chart of accounts. Perform monthly bank, credit card, and balance sheet reconciliations. Support the monthly financial close process and ensure financial activity is reviewed and reconciled. Review transactions to ensure proper coding and accurate recordkeeping. Monitor accounts payable and receivable activity to ensure timely processing. Review budget-to-actual variances and assist leadership in understanding financial performance. Maintain appropriate internal financial controls related to cash handling and disbursements. Assist with audit preparation and financial documentation as needed. Payroll & Human Resources Process and oversee payroll in compliance with diocesan guidelines and employment policies. Resolve discrepancies and assist with payroll-related inquiries. Support human resource functions, including onboarding, recordkeeping, compliance, benefits, and staff performance management. Supervise parish and school staff, including office, maintenance, and accounting personnel. Oversee implementation of guidelines and policies for volunteers. Operations & Administrative Support Provide administrative and operational support to parish and school leadership, including participation in meetings and assistance with enrollment and community engagement activities as needed to promote Catholic education. Assist with facilities oversight and coordinate operational maintenance needs. Implement and administer diocesan risk management policies and programs. Perform other duties as assigned. QUALIFICATIONS & EXPERIENCE: Bachelor's degree in Business Administration, Accounting, or Finance preferred. 3-5 years of relevant business, finance, or administrative leadership experience. Strong leadership, communication, and organizational skills. Proficient in accounting and office software, including QuickBooks, FACTS, and Microsoft Office Suite. Experience in basic HR management and payroll administration. Ability to work collaboratively and independently in a faith-based environment. Understanding of Catholic social teaching and its application in parish and school operations. PREFERRED: Church or non-profit experience Practicin
