Job Description
DJW Homes is looking for a rental office manager to manage our portfolio of rental properties. We are looking for applicants with 2+ years of relevant experience. Your duties will be the following: 1. Leasing & Tenant Relations Respond promptly to rental inquiries via phone, email, and online platforms. Schedule and conduct property tours. Process rental applications, verify employment, income, credit, and references. Prepare and execute lease agreements and renewal documents. Maintain positive tenant relations and provide timely communication. 2. Rent Collection & Financial Administration Collect rent payments, late fees, and other charges. Post payments and maintain accurate tenant ledgers. Issue receipts, payment reminders, and delinquency notices. Prepare monthly financial summaries for ownership/management. 3. Move-In & Move-Out Management Coordinate move-in dates, utilities, and orientation materials. Conduct move-in and move-out inspections; document findings. Oversee key distribution and return. Process security deposit accounting and refund/charge documentation. 4. Maintenance Coordination Receive and log maintenance requests from tenants. Dispatch maintenance staff or vendors promptly. Follow up to ensure completion and tenant satisfaction. Maintain organized vendor and maintenance records. 5. Property Marketing Create and maintain online rental listings (Zillow, Apartments.com, TurboTenant, etc.). Update photos, pricing, availability, and descriptions. Track leads, follow up consistently, and reduce vacancy rates. 6. Compliance & Record Keeping Ensure leases, addendums, and notices comply with state/local laws. Maintain organized digital and physical files (leases, notices, invoices). Stay informed on fair housing regulations and apply them consistently. 7. Office & Administrative Duties Maintain office supplies, forms, and equipment. Answer phones, respond to emails, and manage general office workflow. Prepare weekly occupancy and vacancy reports. Assist ownership/management with special projects as needed. 8. Customer Service Greet walk-ins and provide a professional, welcoming environment. Resolve tenant concerns and complaints promptly. Maintain a customer-first attitude while enforcing policies. 9. Vendor & Contractor Coordination Schedule lawn care, cleaning, snow removal, and repair vendors. Verify completion and quality of work. Approve small invoices or forward to management for approval. 10. Safety & Property Standards Conduct routine property checks for safety hazards or lease violations. Ensure common areas remain clean and well-maintained. Report major issues immediately to management. Pay: $20.00 per hour Work Location: In person
