Responsibilities: Executive Support o Manage and optimize the CEO’s calendar across business and personal commitments o Coordinate all travel, including complex domestic and international itineraries o Prepare meeting materials, agendas, and briefings to ensure the CEO is well-prepared o Draft, review, and manage communications and correspondence o Track follow-ups and ensure timely execution of commitments o Serve as a gatekeeper, prioritizing inbound requests and protecting the CEO’s time Coordination o Support scheduling and coordination of leadership meetings and company priorities o Assist with preparation of presentations and internal communications o Track key action items and ensure follow-through across teams o Provide general support on special projects as needed o Assist in overseeing a portfolio of real estate assets, including multifamily and retail properties o Coordinate with property managers, brokers, and contractors o Track projects, leasing activity, and key deadlines o Support administrative aspects of acquisitions, dispositions, and capital projects Administration Management o Coordinate operations across multiple residences, including vendors, maintenance, and scheduling o Manage personal travel planning and logistics o Assist with events, guests, and general household coordination Financial & Administrative Support o Manage bill pay and ensure timely handling of personal financial obligations o Maintain organized records, documents, and contracts o Help implement and maintain simple systems for tracking expenses and obligations Personal Calendar Management o Maintain and coordinate the CEO’s personal calendar alongside business commitments o Ensure alignment across professional and personal priorities o Anticipate scheduling needs and proactively resolve conflicts Team & Vendor Coordination o Work closely with internal support staff and external vendors o Ensure clear communication and timely execution of tasks o Build strong working relationships with key service providers Requirements: o 5–10+ years of experience supporting senior executives o Strong organizational and time management skills o Excellent written and verbal communication o High level of discretion, professionalism, and reliability o Comfortable managing both business and personal responsibilities o Highly organized and detail-oriented o Proactive, dependable, and solutions-focused o Strong sense of ownership and follow-through o Flexible, and willing to handle a wide range of tasks o Interested in a long-term role with stability and growth
