This position will coordinate, monitor, and improve the daily functions of the Service Department. The Service Coordinator partners with the team to create schedules, confirm appointments, procure materials, and oversee project timelines, ensuring department goals are met across residential and light commercial work. Job Functions Respond promptly to incoming phone calls, chats, and emails while prioritizing customer needs through timely and professional communication Coordinate schedules and appointments for estimators, technicians, and customers Manage accounts receivable monitoring and processing Assist with accounts payable processing Create estimates in a timely manner Order equipment and materials; track deliveries and inventory Generate purchase orders (POs) and warehouse pick lists Prepare deposit invoices and final invoices while ensuring accurate billing and descriptions Collect customer down payments Oversee department vehicle management, including registrations, safety checks, insurance compliance, vehicle/tool assignments, and return tracking Assist with inventory control and warehouse coordination Communicate with customers to identify project scope and service needs Maintain and strengthen ongoing customer relationships Ensure documentation is properly prepared and filed for internal reviews and approvals Support daily communication and coordination within the Service Department Perform additional duties and responsibilities as needed Qualifications: High school diploma or equivalent required. Valid driver's license. Strong interpersonal skills and the ability to relate with a variety of personality types. Attention to detail and the ability to complete work to a deadline. Good organizational and time-management skills. Good written and verbal communication skills. Excellent customer service skills with the ability to resolve customer issues and disputes professionally. Demonstrates initiative, a proactive mindset, and a strong sense of personal responsibility. Ability to adapt and learn quickly in a fast-paced environment. Ability to manage multiple tasks and competing priorities simultaneously. Skilled at maintaining discretion and professionalism with sensitive information. Proficient in Service Titan or similar project management / CRM software. Familiarity with permitting processes, procurement, and warehouse coordination. Proficient in Microsoft Office Suite — Word, Excel, and Outlook. Industry experience in Plumbing and/or HVAC preferred. Comfortable working independently and collaboratively within a team. Pay: $28-33 depending on experience.
