Job Description
This position is an anticipated vacancy. It is expected to be vacant by 6/30/2026. However, the current incumbent has a right to rescind their retirement, leave, or resignation up until the day of the expected vacancy date. Your hire will not be confirmed until the position is vacated, and you may start the year as a Long-Term Substitute if the position does not become vacant by the start of the school year. Reports to: Deputy Superintendent of Operations Summary: The Special Assistant will work directly with the Deputy Superintendent of Operations and the Senior Advisor of Operations, along with other members of the Operations team, and other district stakeholders and will be responsible for performing several administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced environment. The Special Assistant’s main duties include scheduling and facilitating meetings, organizing daily calendars, triaging and responding to internal and external inquiries, and supporting the Deputy Superintendent of Operations and the Senior Advisor of Operations team with special projects. The role requires a seasoned professional who is detail-oriented, organized, and can handle sensitive information with professionalism and confidentiality. Responsibilities: Provide executive-level administrative support to the Deputy Superintendent of Operations and the Senior Advisor of Operations, including managing daily schedules, arranging meetings, and coordinating appointments. Handle incoming calls, emails, and correspondence, prioritizing requests and providing timely responses. Manage special projects, track milestones, and deliver executive reports on progress and outcomes. Organize and coordinate any required events, meetings, and trainings, including logistics, materials, and communication. Maintains the calendar of the Deputy Superintendent of Operations and the Senior Advisor of Operations, including arranging cross-functional meetings for the Office of the Deputy Superintendent. Serves as the timekeeper for the team Monitors the budget, expenses, and contract requests for the department Manages the intake, triaging, and responses to various internal and external inquiries such as team operations requests, external requests for meetings, etc Coordinate communication efforts for Operational initiatives, including drafting announcements, newsletters, and policy updates Handle confidential matters with discretion and professionalism. Assists the Deputy Superintendent and Senior Advisor with other duties as assigned. Qualifications - Required: Bachelor's Degree in Human Resources, Business Administration, or a related field Experience in government, education, non-profit, or private sector demonstrating effective administrative support Exceptional writing, research, analytical, and organizational skills, and the ability to convey complex concepts in a clear, concise, and logical manner Sound judgment, discretion, and the ability to work easily with senior leaders across the organization Ability to partner well with colleagues both inside and outside of the organization Ability to work independently and undertake supervisor responsibilities as needed Ability to maintain confidentiality Excellent computer skills, including Microsoft Office and Google Suite Qualifications - Preferred: Demonstrated success in a large public sector or educational institution Terms : Managerial, C41.
