Job Information Job Title Specialist of Activity Funds Department Financial Services Reports To Assistant Director of Accounting FLSA Status Non Exempt Work Calendar All 12 Month Staff Salary Scale Clerical & Professional Salary Scale Job Summary and Purpose The Specialist of Activity Funds performs technical and administrative accounting support for school and department accounting assistants. This position provides guidance, training, reconciliation support, and internal review assistance to schools and departments. The role supports compliance with applicable policies and procedures, promotes accurate financial practices at the school level, and facilitates effective communication between schools, departments, financial institutions, and central office staff. Work Objectives/Essential Functions Develops and delivers training and ongoing support for new and existing accounting assistants, including updates on procedural changes. Assists and advises school and department accounting assistants regarding policies, procedures, and best practices for financial transactions. Prepares, reviews, and analyzes monthly activity fund reports and reconciliations for accuracy and compliance. Assists with internal audits and reviews of school activity funds and supports preparation for annual external audits. Serves as a liaison between schools and financial institutions regarding activity fund banking matters. Provides accounting support to schools and departments during temporary accounting assistant vacancies. Manages and supports the division’s online school payment system and coordinates implementation and usage with schools. Identifies process issues and recommends improvements to enhance consistency, accuracy, and compliance in activity fund operations. Education and Experience Education Attainment (Required): High School diploma or equivalent Education Attainment (Preferred): Coursework or training in bookkeeping, accounting or a related field is preferred. Relevant Experience (Required): Relevant Experience (Preferred): At least One (1) year of experience supporting school-based accounting functions or activity funds. Industry Licensure or Certifications (Required): Industry Licensure or Certifications (Preferred): Required Licensures and Certifications Additional Knowledge, Skills, and Abilities Knowledge of bookkeeping terminology, methods, and internal control practices Knowledge of applicable state and local procurement laws, rules, and procedures Proficiency with financial systems, spreadsheets, and standard office software Ability to establish and maintain effective working relationships with school staff, vendors, and the public Strong organizational, analytical, and time-management skills Ability to work independently and collaboratively in a team environment Ability to meet deadlines while managing multiple priorities Demonstrated attention to detail and commitment to accuracy Effective written and verbal communication skills Core Expectations of All Stafford Schools Employees Engage in ongoing professional development relevant to position.
