Job Description
Come work with the great team at TVCF! At The very creative firm, we’re looking for a creative and passionate individual who is proactive, detail-oriented, and highly organized to join our team. We specialize in large-scale live shows & events. Think corporate events for clients like Aston Martin, Snowflake, BMW, Louis Vuitton, and Smartsheet but we also produce shows for major festivals from Insomniac (EDC, Escape: Psycho Circus, Countdown, etc.). This role reports directly to senior management and works closely with the wider team to optimize processes—including project organization, timelines, collaboration with internal partners such as finance and design, and overall project cohesiveness—helping the team stay on track while juggling day-to-day project needs. Responsibilities Create and manage event timelines, manifests, template materials, and roadmaps, partnering with internal and external stakeholders to confirm key milestones and deliverables. Manage interdepartmental workflow by providing weekly status updates and partnering with event producers and creative producers to confirm the completion of deliverables. Facilitate cross-functional communication between the production team and internal partners such as finance, design, and social working cross-functionally. Partner with event and creative producers to initiate project kick-offs with internal and external partners, including creating agendas, scheduling meetings, sending meeting recap notes, and building initial key documents, among other tasks. Track expenses, submit invoices, manage communication with accounting, and oversee corporate credit card management. Develop and maintain an organized system for event-related documents, templates, databases, and spreadsheets to track project details, ensuring accurate, up-to-date, and easily accessible documentation. Responsible for full event production, if necessary, with event research such as vendor and venue sourcing and outreach, industry research, and more. Requirements 7+ years of project management, event, or executive assistant experience. Detail-oriented, strategic, and excellent organizational, communication, and timeline skills with the ability to multitask and prioritize effectively. Exhibit a genuine passion for project management, demonstrating enthusiasm for efficiently planning, organizing, and executing projects to drive successful outcomes. True self-starter – be proactive and move initiatives forward with limited guidance. Strong attention to detail and ability to maintain accuracy in a fast-paced environment. A proactive approach to problem-solving with the ability to identify issues and implement effective solutions. Ability to act as the project facilitator between internal teams, managing interdepartmental workflow and communication to ensure cohesive and strategic output Proficiency in Keynote, Google programs, Slack, and experience with Monday.com or similar project management tools are preferred. Team player who is flexible and willing to adapt and take on diverse roles as needed to support the team and achieve collective success. Willingness to travel for events and support producers as necessary on-site. Duration Starting as soon as available and for at least the next six months with the potential of staying on full-time!
