Position Name: Warehouse Administrative Assistant Location: Houston, TX (77015) (Onsite) Job Type: Temp to Hire Job Summary: The basic function of the Storage and Warehouse Administrative Assistant is to ensure the smooth and efficient operation of the Storage and Warehouse department. You will support daily operations by completing a variety of clerical and administrative duties accurately, perform data entry, recordkeeping, and coordinate communication activities between departments and external customers, required to keep an office functioning as directed by the Manager. Duties and Responsibilities: Greeting customers / clients with a pleasant & professional demeanor Ensure accurate inventory records, processing shipping/receiving documentation, and coordinating logistics to keep operations running efficiently Receive incoming goods and verify documentation against data Assists with inventory management Generating daily, weekly, or monthly reports Follow OSHA guidelines to ensure a safe working environment for yourself and your colleagues Provide administrative support to warehouse managers and warehouse staff to ensure smooth operation of storage and warehousing activities Maintain accurate records of inventory levels, including incoming and outgoing goods to reflect current inventory in warehouse management system (WMS) and worksheets Maintain the warehouse management system (WMS) Coordinate with warehouse staff to ensure timely and accurate documentation of inventory movements Perform any storage and warehouse related administrative, clerical, data entry, and customer service tasks Attend departmental meetings as required Maintains cooperative and positive working relationships with customers, coworkers and peers Prepare shipping, billing documents, and other paperwork accurately and promptly. Collaborate with warehouse manager to streamline operations and address any issues that arise during daily activities Perform other duties and tasks as directed by the Storage and Warehouse Manager, PTI. Requirements Qualifications: Education: High School diploma or GED Experience: Minimum of 3 years of administrative assistant experience Valid driver’s license Preferred Qualifications: Previous experience in a warehouse is preferred but not mandatory Knowledge, Skills, and Abilities: Ability to work independently or in a team setting Ability to effectively work in various environments, including extreme temperatures/inclement weather, as necessary Ability to be disciplined within an environment of shifting priorities Ability to maintain confidentiality Ability to remain organized within a fast-paced and dynamic environment Ability to multi-task with the ability to prioritize tasks Ability to work independently without supervision Ability to learn new software applications quickly Adaptability and flexibility to respond quickly to changing operational needs Be self-motivated / A go getter Demonstrate dependability through good attendance and adherence to timelines and schedules Excellent interpersonal, teamwork and customer service skills (internal and external) Excellent communication skills, both verbally and in writing Excellent time management skills Excellent organizational skills A proactive approach to problem-solving and the ability to learn new skills related to warehouse operations quickly Possess strong problem-solving skills.
