POSITION: Full-Time DATE POSTED: 2026-05-08 15:48:11 West Virginia Wesleyan College seeks a qualified individual to serve as Student Accounts Clerk. Reporting to the College’s Student Accounts Coordinator, the Student Accounts Clerk provides assistance to Student Accounts. This position is a full-time 12-month appointment that is benefits eligible. DESCRIPTION The Student Account Clerk reports directly to the Student Accounts Coordinator and is primarily responsible for assisting students and their families with billing questions and providing information to meet their financial obligation of monies owed. The vision of the office will be student centered and provide students with helpful suggestions with payment options. RESPONSIBILITIES Provides assistance to students with all inquiries related to their student account and billing while working closely with Student Accounts Coordinator and other Departments on campus to assist the student in ensuring timely payment. Responsible for working with parents while professionally following appropriate FERPA regulations in disclosing information. Be knowledgeable in and able to advise students and parents on options available for educational expenses. Work with International and US payment sources, and other outside payment providers to assist with documentation needed to get the applicable student’s account finalized and paid. Performs a variety of clerical responsibilities, including collecting and processing tuition, fees, student account payments, and enrollment deposits. Posting charges, managing accounts receivable, processing loan disbursements and Right to cancel Loan Notifications, student refunds and overpayments. Third Party Billing – Scholarship checks, 529 payment, WVDRS and others. Answer phones, emails and texts regarding student and parent inquiries regarding billing, payments, and financial holds. OTHER DUTIES AND RESPONSIBILITIES: Supports and assists in creating intersections for faculty, staff and students that will assist in transforming people’s lives. Supports and assists in creating an evolving culture of mentoring and rich engagement opportunities for faculty, staff, and students. Participates in all required assigned training, including safety training and will comply with safety rules, regulations, and protocols. Contributes to the overall success of the College by performing other duties as assigned. QUALIFICATIONS A High School Diploma or general education degree (GED); and two years of related office experience and/or training. Must be well organized, possess excellent customer service and interpersonal skills. Must have a high level of accuracy and efficiency to be able to successfully enter various types of transactions in the Colleague Records System. A team player who enjoys working with the public and solving problems for people. Must be able to handle several tasks simultaneously in an often fast-paced environment, while maintaining professional courtesy at all times. A self-starter who assumes responsibility for work assigned and can complete projects with little or no supervision. The person must also be able to identify problems and have the knowledge of who to consult as problems arise. A detail-oriented person with the ability to balance transactions efficiently, with no errors. Demonstrated success in professional office environment and documented responsibility Proficient with Google applications and Microsoft Office software.
