Position Description Job Title: Registrar Student Assistant I Department: Registrar Office Reports To: Nora Marquez, Director of Registration and Student Records Location: Allen Calvin Campus Employment Status: Part-Time, 20 hours per week (hybrid) Data Summary The Registrar's Office is responsible for maintaining and supporting academic and registration records for Palo Alto University. Essential functions of our office include, but are not limited to: Academic Record Maintenance, Course Schedule, Degree Auditing and Awarding, Diplomas, Enrollment and Degree Verifications, Registration and Transcript Services. Our office is committed to providing the best service and support to students, faculty, staff and alumni. The Registrar's Office is looking for a Student Assistant to support the office's collaboration with projects, attention to detail, and an interest in developing an understanding of the various systems in higher education that relate to records and registration. Specific Duties and Responsibilities The responsibilities for this role include: Handle confidential material with sensitivity based on university and federal guidelines Provide excellent e-mail, and in-person customer service to (former and current) students, parents, university faculty and staff. Assist office in archiving student records through scanning, reviewing scanned images for accuracy, and purging unnecessary records. Support transcript processing by: updating addresses based on requests. Support verification of various information related to university records and registration. Complete general office duties, such as: filing, photocopying, and responding to emails. Collaborate with the Registrar Office team to develop detailed process documentation for faculty, staff, students, and alumni. Perform other duties as assigned. Required Qualifications: Must be self-motivated and able to perform repetitive work while maintaining a high level of accuracy. Possess excellent oral and written communication skills. Punctual, reliable, detail-oriented, and can work with minimal supervision. Ability to work as a member of a team and work on multiple on-going projects while multitasking. Basic computer skills (PC) and comfortable with using Microsoft Office Suite, Google Suite and open to learning other system applications.
