CONTRACT:o 260 days a year MINIMUM Qualifications:Education:High School diploma or equivalent PRIMARY RESPONSIBILITY:The Student Records Specialist is responsible for overseeing and coordinating district-wide student registration and enrollment.This role involves providing data training and support to District secretaries, producing state reports, and preparing enrollment projections for budgeting and staffing.The Specialist maintains the integrity of confidential student and staff data and manages Skyward module configurations, including security access for employees, parents, and students.This position requires the highest degree of confidentiality, sensitivity, and professionalism.DIRECTLY RESPONSIBLE TO:Information Technology (IT) Director Responsibilities:State Reporting & Compliance o OSPI Reporting:Complete all monthly and yearly District reports to OSPI, including P-223, K-3 Class Size, ALE, CRDC, Homeschool Student Reports, and the District Report Card.o Error Management:Provide support to building secretaries for P-223 issues and manage corrections within the EDS system.o CEDARS/SSID:Manage CEDARS-EDS submission errors (student/courses/schedule) and update/track SSID numbers for all students.o Audits & Meetings:Assist during audit periods as required.Attend student record-related meetings/trainings from ESD 105 and the annual WASWUG meeting.System & Database Management (Skyward/EDS) o Master Records:Manage and maintain the district course master and the curriculum master (creating new curriculums as needed) per state changes/requirements.o Skyward Support:Provide primary Skyward support for secondary Counselors, building Secretaries, and the district year-start/end processes.o Technical Configuration:Assist with Skyward Entities as needed and manage security for employees, parents, and students.o Data Integrity:Maintain clean and accurate family/student information and Family Access accounts within Skyward.o Digital Records:Import and update student and staff pictures into Skyward and other platforms.Enrollment & Student Services o Registration Oversight:Coordinate and oversee K-12 Student Registration and Enrollment, including the management of Online Student Enrollment.o Documentation:Create and maintain all Student Enrollment documents while staying up-to-date on state enrollment requirements.o Student Transfers:Act as the primary contact and record-keeper for choice transfers, out-of-district requests, and GED release forms (tracking through EDS).o Outreach:Manage and facilitate the District Kindergarten Registration Night.o Safety Records:Manage and record District-wide Student Accident Reports.Administrative & District Support o Reporting:Prepare monthly enrollment reports for the School Board.o Collaboration:Co-host monthly Secretary meetings and collaborate regularly on district needs.o District Coverage:Provide backup for building Secretaries during summer/holidays and assist the Administrative Assistant as needed.o Operations:Track and manage postage and copier meters for District Office(s).o General Duties:Perform other duties as assigned.Additional Duties o General Scope:Performs other duties as assigned.o Adaptive Support:Responsibilities may include other related tasks as necessary to support district operations and evolving state requirements.Qualifications & Experience:Education:High School diploma or equivalent.Technical Proficiency:Proficient in Microsoft Excel and Microsoft Word.Experience:Previous school district experience and experience working with Skyward are preferred.Skills:Must have excellent grammar, be detail-oriented, and be able to perform math functions.Bilingual:Bilingual skills are preferred.Personal Qualities:Communication:Must have excellent written and verbal communication skills.Customer Service:Maintain a professional, customer service attitude and work courteously with various groups including students, teachers, parents, and administrators.Judgment:Must have excellent problem-solving, decision-making skills, and sound judgment.Environment:Ability to work independently with minimum supervision in a dynamic, fast-paced environment with frequent interruptions.Reliability:Ability to maintain accurate and reliable records and data while operating office equipment and technology.Confidentiality:Must be able to maintain confidentiality of all District matters.Working Environment:Job duties require the employee to perform multiple tasks in an office setting with frequent interruptions.Approximately 90% of the time is spent sitting and 10% is spent walking or standing.Duties require the employee to sit, talk, move about, hear, and speak.Healthcare Benefits (SEBB):(All Employees who work 630 hours per school year are eligible.)
