TDHCA - Mail Clerk (00056132) Organization:TEXAS DEPT OF HOUSING AND COMMUNITY AFFAIRS Primary Location:Texas-Austin Work Locations:TDHCA physical address 221 East 11th Street Austin 78701 Job:Office and Administrative Support Employee Status:Regular Schedule:Full-time Standard Hours Per Week:40.00 Travel:Yes, 10 % of the Time State Job Code:0061 Salary Admin Plan:A Grade:13 Salary (Pay Basis):3,700.00 - 4,166.67 (Monthly) Number of Openings:1 Overtime Status:Non-exempt Job Posting:Feb 10, 2026, 1:59:06 PM Closing Date:Feb 20, 2026, 11:59:00 PM Description Financial Administration, Financial Services Division GENERAL DESCRIPTION:Perform mailroom duties for the Texas Department of Housing and Community Affairs (Department) to contribute to the accurate and timely receipt and distribution of incoming and outgoing correspondence and the shipping and receiving of parcels.Work involves office administrative functions to include:compiling and tabulating data for incoming cash, checking documents for distribution to various programs and public information requests in a timely manner, handling and transporting parcels and/or stock and inventory and maintaining files of postal accounts, and logs of monthly copier usage readings.Work under moderate supervision with limited latitude for the use of imitative and independent judgment.SPECIFIC JOB Responsibilities:Prepare, open, sort and distribute mail to all Department divisions/programs in an accurate and timely manner according to established procedures; ensure that incoming mail is dated, picked up and deliver mail twice a day to each assigned Department division/program Assist with special mail-outs on a weekly/biweekly basis.Prepare and compile complex data for entry and tracking of daily incoming cash and retrieval and forward to appropriate agency staff as needed.Assist customers in filling out request forms associated with mailings, quick copy, express service.Operate and perform duties in the agency's quick copy service center processing copy requests in a timely manner to include:delivering large requests, checking details on request forms for completeness and checking quality of the finished product.Assist with maintaining data entry and tracking of quick copy user readings.Maintain ledgers and files of postal accounts and copier usage readings.Assist with receiving service calls for copiers in the TDHCA Austin office and respond or assist as appropriate.Receive and distribute all deliveries to end users and forward receiving reports to accounts payable for payment.Adhere to established work schedule with regular attendance.Travel may be required up to (10%).Perform other duties as assigned.Qualifications EDUCATION/Experience:Minimum of four years of experience in mail operations is required Experience in support work or administrative support work.Graduation from a standard senior high school or equivalent is generally preferred.Prefer experience with data entry.KNOWLEDGE, SKILLS AND ABILITIES:Knowledge of postal rules and regulations and the rules and regulations of various freight and express delivery service, preferred.Effective verbal and written communication, human relations and organizational skills Skill in providing excellent customer service to both internal and external customers Skill in operating a personal computer with Microsoft Word, database and Excel spreadsheet software Strong math aptitude Ability to accurately enter checks into our Cash Receipts System.Ability to work in a setting requiring self-motivation/cooperative decision-making and to work effectively with diverse groups of people Ability to work effectively under pressure and meet strict deadlines while maintaining extreme attention to detail Ability to multi-task in a fast-paced environment Ability to adapt successfully and quickly to change and deliver quality results in a timely manner Ability to plan, organize and work independently, as well as within a team environment Ability to read, understand and determine appropriate distribution of documents covering a wide range of topics Ability to learn postal rules and regulations and types of shipping and express delivery services Ability to follow instructions and to work under general supervision Ability to exercise sound judgment and discretion Ability to maintain highest level of confidentiality.PHYSICAL REQUIREMENTS:This classification functions in a standard office environment.Ability to drive and travel as needed.Will need to move about the office to access file cabinets, use office machinery, attend meetings in various offices and conference rooms, etc.Must be able to communicate and exchange accurate information via phone, computer, and in person.Must be able to observe and evaluate data in a variety of formats, including hard copy, electronic, and various media formats.Must be able to work non-standard hours inc
