JOB The purpose of this position is to provide a variety of clerical activities in support of the Recorder’s Office programs and services. Incumbents in this position assist in planning, organizing and coordinating Voter Registration and Early Voting activities. EXAMPLE OF DUTIES SUPERVISORY RESPONSIBILITIESThis position does not supervise other employees.ESSENTIAL DUTIES AND RESPONSIBILITIESTIME SPENTProcesses daily mail.30%Accepts and distributes various forms related to Early voting including Voter Registration forms and Early ballots.20%Provides clerical support to the Chief Registrar; performs receptionist duties which include customer service and resolution of routine inquiries from the public and governmental entities, both on the phone and in person.20%Receives early ballot information from voters.10%Reviews early ballots for inclusion of signatures.10%Assists in the collection of early ballots throughout the County.10%Performs other duties as assigned.BUDGET RESPONSIBILITIESThis position has no responsibility over any types of budget.PROJECT RESPONSIBILITIESThis position does not have project responsibilities.ORAL COMMUNICATION DUTIESThis position explains County procedures or processes.WRITTEN COMMUNICATION DUTIESThis position creates or edits documents, internal memos, emails and formal letters.INTERACTIONS WITH THE GENERAL PUBLICInteracts extensively with employees, customers, the general public, vendors, regulatory bodies, and other groups and/or individuals and Institutions over the telephone, by email, and/or in person.INTERACTIONS SPECIFICALLY WITH CUSTOMERSFrequently (More than 25% but less than 40% in a year) SUPPLEMENTAL INFORMATION KNOWLEDGE REQUIREDBasic office practices and procedures; general office equipment; basic computer applications involving word processing and data entry; correct business English, including spelling, grammar and punctuation; customer service standards and protocols.SKILLS REQUIREDActive listening; analytical thinking; communicating diplomatically; customer service; problem solving; time management and multi-tasking.ABILITIES REQUIREDCategorize and group data; fully and quickly comprehend words; multi-task; memorize and recall; speak clearly and sensibly; maintain calm demeanor in stressful situations and follow orders.
