Description Under general supervision, ensures the County’s Election Department is in compliance with state and federal laws regarding all language minority groups in the administration of the County’s election processes. Produces, organizes, and maintains accurate electronic and physical records of all eligible registered voters within the County by performing the following duties. Regular attendance is required as scheduled by a supervisor; Performs other duties as assigned; Confidentiality: Due to the confidential nature of a substantial part of the County Clerk's records and office business, all matters about customers' affairs (even though it is public records) must be kept in strict confidence. Accepts voter applications in person, by fax, and by phone, and verifies citizenship requirements. Issues application forms to applicants at the counter, reviews applications for completeness, accuracy, and eligibility requirements, and files application forms. Work in GIS programs for accurate address placement for voters. Works with the Secretary of State System (TEAM) to process voters’ applications or update any changes to the voter file. Research addresses for proper placement according to precinct and county, purges ineligible voters, and mails notices of changes. Handles routine office duties such as processing and distributing mail, sending letters to applicants, answering phones, and assisting with other departments’ duties. Assist in performing logic and accuracy testing of machines and ballots, assist in preparing voting equipment for testing; Participates in all election activities, including overtime if applicable, assists in processing incoming/outgoing mail ballots, applications, and mail-in ballots, and helps with the FPCA process, including filing and sorting. Deliver equipment or provide equipment support to designated voting locations during early voting and election day, and assist in the call center by answering phone calls from voters or poll workers. Assist in balancing daily voter turnout and uploading voting history to the state system. Assists the Voting Equipment Technician in equipment preparation; Scans, indexes, and proofs all documents before final storage. Quality Control of any documents before final storage or before destruction; Maintain the location of each box stored in the warehouse through the current software program being used by the County; Must maintain strict confidentiality of all records and office business. Helps the Elections Director as necessary, and is willing to perform other duties relating to the general operation of the department. Qualifications QUALIFICATIONS: To perform this job successfully, an individual must satisfactorily perform each essential duty. Knowledge of Texas Election Laws Knowledge of the Secretary of State's Rules and procedures Public relations skills Education, Experience, and Training Guidelines: High school diploma or general education degree (GED): or one to three months related experience and /or training; or equivalent combination of education and experience. LANGUAGE SKILLS Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers and other employees of the organization.
