Job Description
Position Summary The Jefferson Township Clerk & Investigator is a dual-role position responsible for providing administrative, financial, and clerical support to the Township Trustee while also conducting eligibility reviews, verifications, and investigations related to Township Assistance applications.This position plays a critical role in ensuring compliance with Indiana Code, Township policies, and adopted assistance guidelines, while maintaining confidentiality, accuracy, and professionalism.Essential Duties and ResponsibilitiesClerk Responsibilities The Township Clerk & Investigator shall:Perform clerical and administrative duties for the Township Trustee Maintain and organize Township records, files, correspondence, and official documents Assist with preparation and maintenance of:Township Assistance files Financial records and supporting documentation Claims, vouchers, and related paperwork Receive, log, and route incoming correspondence, applications, and documentation Assist with meeting preparation, including agendas, notices, and supporting materials Maintain accurate records for audits, inspections, and public records requests in accordance with applicable law Support compliance with Township policies, resolutions, and adopted procedures Assist with general office operations, scheduling, and public-facing inquiries Maintain confidentiality of sensitive and protected information at all times Investigator Responsibilities The Township Clerk & Investigator shall:Review Township Assistance applications for completeness and compliance Verify applicant information, including but not limited to:Income Assets Residency Household composition Expenses and obligations Conduct eligibility determinations in accordance with:Indiana Code Jefferson Township Assistance Guidelines Trustee directives Contact landlords, utility providers, employers, and other third parties to verify information Document findings thoroughly and accurately within case files Identify inconsistencies, omissions, or potential misrepresentation in applications Make written recommendations to the Township Trustee regarding approval or denial of assistance Assist with follow-up documentation, notices, and case tracking Maintain professionalism and neutrality when interacting with applicants and third parties Authority and Decision-Making This position does not have independent authority to approve or deny Township Assistance All final determinations and authorizations are made by the Township Trustee The Clerk & Investigator operates under the direction of the Trustee and within adopted policies Required Knowledge, Skills, and Abilities Knowledge of or ability to learn Indiana Township operations and Township Assistance processes Strong attention to detail and organizational skills Ability to handle confidential and sensitive information Effective written and verbal communication skills Ability to conduct fact-finding and verification objectively Professional demeanor when working with the public, including difficult or stressful situations Proficiency with office technology, including computers, email, and record management systems Ability to follow written policies, procedures, and legal requirements Education and Experience High school diploma or equivalent required Prior administrative, clerical, investigative, or public service experience preferred Experience with financial records, eligibility programs, or government operations is a plus Physical and Work Environment Requirements Ability to sit, stand, and work at a computer for extended periods Ability to lift and move office materials and files as needed Work is primarily performed in an office setting, with occasional field or verification-related contact Confidentiality and Ethics This position requires strict adherence to confidentiality, ethical standards, and Township policies.Any misuse of information or failure to comply with established procedures may result in disciplinary action.Acknowledgment This job description is not intended to be all-inclusive.Duties may be adjusted by the Township Trustee as operational needs require, provided they remain consistent with Township authority and applicable law.Pay:$11,200.00 per year Benefits:Flexible schedule Work Location:In person.
