Job Description
GAULD VEIN & VASCULAR Position Summary Gauld Vein & Vascular is seeking a highly motivated, patient-focused Treatment Coordinator to guide patients through the treatment decision process with confidence, professionalism, and empathy. This role is responsible for reinforcing the provider’s clinical recommendations, helping patients understand the value of treatment, coordinating financial discussions, and converting consultations into scheduled care. The ideal candidate is comfortable discussing high-value treatment plans, navigating patient concerns and objections, and creating a supportive, education-driven experience that helps patients feel confident moving forward with care. Core Responsibilities Patient Consultation & Case Acceptance Meet with patients following provider consultations and ultrasound reviews Reinforce and clearly communicate the patient’s clinical diagnosis, symptoms, and recommended treatment plan Help patients understand the long-term value and benefits of treatment Guide patients through next steps in a confident, compassionate, and structured manner Present treatment plans, timelines, and financial expectations clearly and professionally Navigate patient concerns, hesitations, and objections while maintaining a patient-first approach Convert consultations into scheduled treatment plans and procedures Financial Coordination Review insurance benefits and estimated patient responsibility Explain treatment investment and payment expectations in a clear and supportive way Discuss financing options when appropriate Coordinate deposits, payment arrangements, and scheduling logistics Patient Experience & Communication Deliver a high-touch, concierge-level patient experience Ensure smooth communication and handoff between providers, ultrasound staff, and front office team members Follow up with unscheduled patients to answer questions and encourage continuation of care Build trust and rapport with patients throughout the treatment process Scheduling & Operational Coordination Schedule procedures and follow-up appointments efficiently Coordinate treatment sequencing and provider schedules Maintain accurate documentation within the EMR Communicate effectively with clinical and administrative teams to support continuity of care Key Performance Indicators (KPIs) Consult-to-treatment conversion rate Qualifications Required Experience in treatment coordination, aesthetics, dental, vein, surgical, or high-value elective healthcare services Strong communication and interpersonal skills Comfortable discussing treatment costs and financial arrangements Ability to confidently guide patients through treatment decisions Strong organizational and follow-through skills Professional, polished, and patient-centered demeanor Preferred Vein, vascular, aesthetics, dental, orthopedic, or procedural healthcare experience Experience with EMR systems and scheduling platforms Understanding of insurance verification and benefit discussions Experience working in a KPI-driven environment Ideal Candidate Traits Confident but not pushy Empathetic and relationship-driven Comfortable discussing high-value care Strong closer with a patient education mindset Detail-oriented and operationally organized Team-oriented with strong communication skills Compensation Competitive base salary Performance-based incentive structure tied to treatment starts and case acceptance Opportunity for strong earning potential based on performance Why Gauld Vein & Vascular Gauld Vein & Vascular is focused on delivering exceptional patient care through clinical excellence, operational consistency, and a patient-first experience.
