Job Description
The Virtual Office Assistant is responsible for providing remote administrative, clerical, and operational support to ensure efficient day-to-day business operations. This role assists with scheduling, communication management, document organization, data entry, and administrative coordination while supporting internal teams in a fully remote work environment. The Virtual Office Assistant plays a key role in maintaining organized workflows, accurate documentation, and professional communication across the organization. This is a fully remote position; however, applicants must currently reside in the United States and be legally authorized to work in the U.S. Applications from individuals residing outside the United States will not be considered. Key Responsibilities Provide administrative and clerical support to departments and leadership teams Manage calendars, appointments, and meeting scheduling Organize digital files, records, and documentation systems Respond to emails, phone calls, and internal communications professionally Assist with data entry, document preparation, and report generation Coordinate virtual meetings and maintain meeting records when required Support onboarding, scheduling, and workflow coordination activities Maintain confidentiality of company and client information Assist with invoice tracking, expense reporting, and administrative processes Support special projects and operational initiatives as assigned Required Qualifications High school diploma or equivalent required; associate degree preferred 1–3 years of experience in administrative support, virtual assistance, or office coordination Strong organizational and multitasking abilities Excellent written and verbal communication skills Proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint Strong attention to detail and time management skills Ability to work independently in a remote environment Strong customer service and problem-solving abilities Preferred Qualifications Experience with productivity and collaboration tools such as Microsoft Teams, Zoom, or Google Workspace Familiarity with project and workflow tools such as Asana, Trello, or Monday.com Experience supporting remote or distributed teams Basic bookkeeping, scheduling, or records management experience is a plus Benefits Eligible employees may receive the following benefits: Comprehensive medical, dental, and vision insurance 401(k) retirement plan with employer matching Paid time off (PTO) including vacation, holidays, and sick leave Life insurance and disability coverage Flexible remote work environment Professional development and administrative training opportunities Employee wellness and assistance programs Potential performance-based bonuses Work Authorization Requirement Applicants must meet the following requirements: Must currently reside in the United States Must be legally authorized to work in the United States Applications from individuals residing outside the U.S. will not be considered
